Your freedom will come from documenting your systems

Today I’d like to talk about an aspect of your business that could help you get your sanity back, save you many hours each week and potentially thousands each year: documenting your systems. Doing so will grow your business exponentially, as well as your freedom.

When you have a clear and repeatable system documented for how everything gets done in your business, you set yourself up to grow exponentially, make more and have more downtime.

How? When you focus on repeatable processes instead of flying by the seat of your pants, you then spend less time in the day-to-day operations of your business, there are fewer interruptions and things falling through the cracks, and you can trust your team more than you do now. Then, you can focus on the things that matter most, rather than constantly putting out fires.

So let’s talk about the importance of documenting your systems into what many people call an Operations Manual, basically, a bible of ‘how we do things around here’.

Your Operations Manual is your company playbook; you should be able to give any team member access to it, and just by reading it, they will know exactly how to slide in and do their work.

Why is it crucial to have one? Well, you’ve probably worried that, if someone on your team wins the lottery tomorrow or gets sick or simply leaves, you will be lost.

This is not the case when you have the right documentation. When everything is well-documented, transitions in team members are easier and there are very few blips in your business, fewer than you’re experiencing now. Everything just runs more smoothly.

And that allows you to remove yourself and step into your true role in your business: that of a Visionary Entrepreneur (rather than the Doer with the unending to do list.)

No, YOU don’t have to be the one to write out each process, your team will do it. They are the ones who will document each recurring process into a detailed working procedure. (You can read my blog post on the topic of your team documenting systems here.)

You just need to know WHAT to document and HOW to document it. (This is where most business owners fail, because they get stuck not knowing this and therefore never finish the Ops Manual.)

Where do you start? Well, there are many ways of learning how to do this. The problem is, most of these require that YOU do the work, and I know that this feels impossible. Instead, get your team to do this for you, and to be enthusiastic about doing so, in the next 90 days.

How do you do this without having them feel grumpy? What categories must you document and in how much detail? Are there options to make it faster and easier for them to do it? Do you share the document (including financial processes with each team member)?
